35th Anniversary Festival Coordinator for the Cowichan Intercultural Society

The Cowichan Intercultural Society (CIS) requests proposals from qualified coordinators to express interest in planning our 35th Anniversary Celebration and Festival! The event, to take place September 2016, will bring together cultural arts, performances, fashions, and food, as well as community information booths, vendors, fun fair for kids, elders' care, and more. The Cowichan Intercultural Society (CIS) is a Canadian registered charitable organization. Currently we have 18 community service programs, 13 board members, 22 staff members, 180 members, and 130 volunteers. CIS is the leading community resource for immigrant settlement services, and for education and awareness in developing welcoming and inclusive communities. In addition, CIS works in partnership with over 40 community service providers and organizations to mutually strengthen and support our communities. Scope of Deliverables: ~Recruit an Anniversary Planning Committee and create Task Force Teams ~Create 35th Anniversary Work Plan ~Assign Committee members to coordinate task force teams ~Host an online forum where committee members stay connected and get input and updates from each other ~Facilitate monthly meeting; keep minutes and report to the Executive Director, and share with task force team leaders ~Facilitate 35th Anniversary Presentations to Secondary schools, community groups, local governments, and to other potential partners, sponsors, or donors, to recruit volunteers, partners, cultural performers and sponsorships ~Support and follow up with task force team coordinators ~Check on dates and venue negotiations for the event Work with Media Relations/Promotions Coordinator ~Oversee and coordinate a successful 35th Anniversary! Budget A maximum of $20,000 is allocated for the Anniversary expenses. Submission Requirements Proposals must include the coordinator costs. It is not necessary to have a budget plan for event expenses at this stage. We would like to have an indication of the consultant's experience in undertaking similar projects, including team management and a list of qualifications, at least two applicable references, and a draft plan or sample plan with timelines for the event.
